Role Description
At Hudson Pacific Properties, we provide best-in-class office space to the biggest names in tech and media (Netflix & Amazon). We're seeking an Office & Events Assistant in Seattle to support our Pioneer Square properties.
The Office & Events Assistant provides daily operational support to the regional office and works closely with the Events & Programming Coordinator to execute all events on campus. From responding to tenant requests to managing office supply orders to assisting with event related marketing, this role requires a customer-focused team player who can keep many important details organized in a fast-paced, dynamic environment. It is ideal for a proactive, creative, and adaptable person who enjoys cultivating memorable experiences and building a sense of community.
What You'll Do
The Office & Events Assistant’s role and responsibilities shall include, but not be limited to, the following:
Office Administration – 30%
Staff the front desk and direct phone calls, visitors, and deliveries as needed during business hours.
Respond to tenant emails and phone calls in a timely manner.
Order weekly office supplies and groceries.
Support the upkeep of the shared kitchen spaces inclusive of all appliances.
Restock office supplies and groceries daily.
Manage and organize all mail and packages for the Property Management and Regional teams.
Manage expense reports for the Vice President of Operations.
Process regional invoices in Yardi as assigned.
Complete other tasks and projects as assigned.
Events & Programming Support – 70%
Assist with the organization and execution of all campus events and programs in conjunction with the Events & Programming Coordinator.
Assist with the booking of tenant amenity reservations via Angus.
Place work orders for all events via Angus as needed.
Responsible for sending all campus-wide tenant communications including the monthly events newsletter, managing content on the campus Lobby screens, updating posts on the My HPP Office Mobile App, and coordinating signage on campus for events, meetings, and general property notices.
Assist with the management of all campus amenities inclusive of general upkeep if applicable (i.e. mobile car detailing program in the garage, eco-friendly dry cleaning, general donation drives, e-cycling donations, fitness center equipment inventory, amenity spaces, etc.)
Assist with vendor acquisition, negotiation, and scheduling for the campus fitness studio program.
Provide onsite support to tenants and community partners for their private amenity space bookings in Pioneer Square as needed.
Process invoices in Yardi for amenity projects, events and programming, and any other items as assigned.
Process purchase orders in CLM for amenity projects, events and programming, and any other items as assigned.
What You'll Need
Experience with multifaceted events and events marketing.
Administrative experience in a corporate or fast-paced environment.
Ability to multi-task with a customer-focused approach.
Adept at “thinking on their feet” and problem-solving in real time.
Availability to work onsite Monday-Friday with the flexibility to work off-peak hours as required.
Strong proficiency in Microsoft Excel, Word, and PowerPoint.
Excellent communication (verbal & written) and interpersonal skills.
Interest or experience in real estate, property management, and project management is a plus.
Experience with Angus, Yardi and/or CLM is an asset.
Bachelor’s Degree preferred.
Salary Range: $26.00 to $32.00 Hourly USD (subject to relevant experience)
